The five numbers an owner checks first

Per branch for the person standing in it, consolidated for the person who owns all of them. Today, this week, this month, against the same period last year.

  • Sales today — value, bills, pieces and grams of gold sold.
  • Old gold bought — value and fine weight taken in.
  • Tenders — what came in as cash, card, UPI, bank and scheme redemption.
  • Stock value at the board's current rate, by karat and category.
  • The rate board itself, with a warning if nobody has set it today.

Registers

Every blotter works the same way

Filters, sort, pagination, columns you choose, summary cards at the top and a row that opens the document. Learn one, and you have learned all of them.

Day book

Everything that happened, in order, across sales, buybacks, receipts, transfers and payments.

Sales register

By branch, counter, salesperson, category, customer and tender, with the tax split on every line.

Tender summary

What came in and how, reconciled against the day-end cash count and the Z-report.

Old-gold register

Intakes by metal and period, with tested fineness, deductions, settlement route and disposition.

Transfers & memos

In transit, received with discrepancy, and jangad outstanding by age with a holder against each.

Interface log

Every external call — e-invoice, WhatsApp, courier, payment — one row per attempt, with the response.

Stock

Valuation that answers the question being asked

"What is my stock worth" has at least three answers — at cost, at today's rate, and at the rate on the closing date. All three are a click apart.

  • Karat-wise — 24K, 22K, 18K, 14K, silver and platinum, in pieces, gross, net and fine weight.
  • Category-wise and by design, collection, weight band and supplier.
  • Counter-wise — down to the tray, with the custodian named.
  • Ageing — days in stock, slow movers, dead stock and the money each is holding.
  • Any date — revalued at the rate that applied then, for a closing or an insurance figure.

Salespeople

Attribution per bill and per line feeds everything here, so the commission calculation and the performance report come from the same source as the sale.

Getting data out

Your accountant should not need a login

Every blotter and every report exports. Beyond that there are proper ledger exports, so the month end is a file rather than an evening of typing.

  • CSV, XLSX and PDF from every blotter and report, with the filters you had applied.
  • Tally XML for the Indian standard.
  • Generic ledger export with your own account mapping, for Zoho Books and QuickBooks.
  • Business Central push where a group already runs on it.
  • Bulk export of items, customers, vendors, purities and rates — the same shape the importer accepts.

Scheduling and comparison

  • Email a report on a schedule, to a list, in the format they want
  • Period-over-period comparison against last month and last year
  • Margin by category, branch and salesperson
  • Multi-year history retained and queryable

Activity alerts

Something unusual should reach a person, not a log file:

  • A discount or price override above your threshold
  • A stock adjustment, a tag reprint, a piece marked lost
  • A buyback above a value threshold
  • Any activity outside trading hours
Summary cards never fabricate a zero. If a query behind a card fails, the card shows an em dash and says the figure is unavailable. "0 pending approvals" is something a manager acts on, and it must never be an error wearing a number.
